Hey guys,

I have an application that's due on the 15th of January (2 days from now). Everything is in except one of my transcripts. I went to the college it was sent from and it was sent 12/23 to the correct address. It still hasn't been uploaded yet. I don't even know if they received it. I'm hoping that it's due to the holiday closure, but they have been back for a week so I have no idea.

Worst case scenario, what can I do? Should I go back to the college and ask them to email proof of the mailing? I emailed the coordinator already and let her know, and tomorrow i'm going to call admissions and ask what's going on. I just don't want my application to be thrown out over something I literally can't control.

I would call asap and ask if they have received them and simply not updated the server.

Contact the place you're applying and say that you want to check if they received your transcripts. No need to contact your own college unless the place you're applying need proof of mailing.

For many schools that I applied to, the online status check system was terribly outdated and it said things that were not received even though they were received weeks ago. Part of it could be a mistake (someone didn't tick off a box) and another part was if the names didn't match exactly, the system won't recognize it. For example, I have two middle names and the system stored it as a hyphenated middle name but my transcript shows my name as two words, so the computer system was unable to match the received transcript to my record. Of course, the human actually handling my documents was way smarter and my transcripts were properly filed with my application physically. It just didn't properly get captured by the computer system.

After I posted the thread, I decided to...

  1. Email the director of the program & explain what was going on and
  2. Contact graduate admissions

The director was glad I kept her in the loop, and allowed me to send a scanned copy of my transcript to use as a placeholder. My contact at graduate admissions filed a special request for me on Wednesday. On Thursday, they found my transcript. It is going to be scanned and filed tomorrow (Friday). The application should be in on time.

I'm just glad the people I spoke to were understanding and allowed the use of placeholders. I've had one college basically say "well, too bad" and not take any action to help me. It meant a lot.
