Jennszoo
I have been diligently checking my online status. Today is the deadline. I submitted the app ($, resume, SOP) on the 6th, delivered the transcripts on the 11th. Pretty much everything but the GRE and the $$ is showing as incomplete. ARGH. I dont even need a decision right now, I just want to log in and see a nice row of green "received" on my app status page. Even though I *know* these things are in their hands (and at least 2 LORs) and I *know* they said it takes 10-14 days to update the system, it still causes me panic. grad_wannabe
I got an email from one school stating, "We have finished cataloging all received materials. Please check your status online." So, I checked, and one rec letter and one transcript were red-marked as "UNRECORDED." I got a "rec letter received" confirmation email for this very prof, from this very school, back in November. I sent the transcripts in the same package as my portfolio. The portfolio was marked as "RECEIVED" while the transcript was not. I sent them a slightly frosty email, stating that I had absolutely sent in those materials months ago, but if they had misplaced them then of course I would send additional copies. I received no reply, but on my App Status page, the transcripts were suddenly marked "RECEIVED." The rec letter, though, still says unrecorded. Blerg. Just waiting for them to tell me to bend over and grab my toes at this point.
jacib
really try hard not to worry about it. as long as you haven't gotten an email from that school claiming that they don't have something, they have everything. at this point, deadlines for programs (at least PhD programs) are long enough gone that everyone who didn't get materials into departments should have heard about it. I just got an email from a program with a Dec 15 deadline two days ago telling me a letter was missing. Which got me off my ass and checking all the webpages finally... Two were missing an optional letter, one (with a Jan 1 due date) was missing an obligatory one. I hadn't gotten emails from any of them. I too had expect them to send me an email if I was missing something. Edited January 15, 2010 by jacib

red_crayons
One of my schools doesn't even bother having this complete/incomplete indication on their application website. I know that application IS actually complete because a. I manually sent GRE scores 6 weeks ahead of time; b. my recommenders are awesome and have been telling me whenever they submit a letter; and c. I sent my supplemental stuff via certified mail, so the USPS told me when it was received by the program, which was 2 weeks before the deadline. I'm jealous of all your fancy online ways to check your applications!

Same with Syracuse, although they apologize for the lack of status checker and are very helpful when it comes to checking with them on what they've received. One of my other schools (George Mason) has an online status checker but claims to have almost none of my stuff, which is kind of hard to believe since every other school got my transcripts and LOR's in early December at the latest. A number of other people I know applying there have had similar problems checking their application status online as well. Might go to show that online status checkers aren't always that much of a help! Edited January 16, 2010 by rwfan88
digits2006
I called some of the schools I am applying to. They very very helpful.
BlueSwedeShoes
One school claims they never got my transcripts. This, of course, I didn't know until last week...it was a December 15 deadline school. And calling to check things, yeah no. They don't take calls directly but instead you're asked to leave a message with phone number and information and they'll call you back. Since they never have, I'm assuming that they don't call international cell phone numbers (I know other schools that have this policy).
curufinwe
Guys, relax. They are always lazy to put everything together. if its been 3 weeks since u assume ur files are received but they still seem missing, call the graduate coordinator and tell this. Like, UoTexas-Austin didnt update some of my files' status for 4 weeks, and they e-mailed me that it was missing. I called them, sounding really bitter, and their response was "oh it is possible that we might not have updated that thing, but that e-mail was to make sure that u sent the documents". and even though their deadline was 1st of december, and my document in question was received on the 3rd or something (according to their site), (and i'm having this talk with them on the first days of january), they were cool with it and all is well. unless u r super unlucky and ur documents got lost on the way and the university said "naah, screw him, his application is not valid", it'll be fine. I called my program and found out they had received a complete application a month and a half ago, and forwarded THAT information to the Rackham admissions office about ten days ago. Still hasn't been updated on the website, and really frustrating. It's apparently a computer glitch that's affecting many, if not most, applicants. So I wouldn't sweat it, but I would call them when they reopen on Tuesday! P.S. Rackham seems to require lots of extra, needless paper work for the purposes of "expediting" the admissions process, when they've been the slowest and least organized of all! Ugh! allegheny
Awesome. Thanks for letting me know this. I will call them when they open to get some details. I hope the thing is complete because I only did three apps and am already frustrated! Update on Rackham: apparently the Graduate School itself does not control whether the website is reading "transcript" and "letters of recc" received; the program does. So you should call your program, ask them if your application is complete, and if they say it is, you're good to go!

Basically, I was told that the application software is run by the graduate admissions program, but the recs/transcripts go straight to the department. I emailed the department directly and they had all the stuff.
fancypants09
Joining the bandwagon here. School 1: Sent all of my required materials days before the deadline. The application tracking page states that my file is complete, but not all of the components are marked as received yet. They're not answering phones or emails "due to the work overload." School 2: Just learned that this school wants a transcript from a study abroad I did almost 8 years ago, for 10 weeks. I received credit for my undergrad for it, and the study abroad shows up on my undergrad transcript (but not the grades from the study abroad though--my undergrad has a policy of not transferring the grades). I thought my undergrad transcript would be sufficient evidence of my study abroad, but it looks like I might have to request this transcript. Cost is enormous: I have to wire USD $30 for express mail (plus anywhere between $50-$70 in wiring fees) to the study abroad program and wait 1 week for the mail to get to School 2. And I thought the most difficult part of my apps were going to be the LORs. HA! Edited January 19, 2010 by fancypants09
APHI224
One school that I had everything sent to had a deadline of January 4th and I had all my transcripts sent out a month in advance. This school seems to be the only one out of 10 that hasn't received it yet so I emailed the department a few weeks ago asking what was up. The woman who replied back seemed annoyed at my inquiry and told me to "just be patient" even though the online application still says they are missing my transcript and that they are behind in sorting everything. Since then I've gotten 2 "update" emails from the school (they seem automated, not actually written by anyone) stating that my transcript is still missing. I don't really want to email anyone again because they might get even more annoyed, but this just seems silly. I'm worried that if I let it go and "just be patient" that there will end up being a problem and they'll never be able to consider my app. I just had my registrar mail another round of my transcript to all the schools I'm applying to so they have my grades from this past semester, so maybe one of those will make it there, or maybe they already have them but just haven't updated the system? Isn't it lovely that they seem to make it as difficult as possible?
katalytik
An update, it seems UMich in general is screwing up this process of informing applicants. Supposedly the University does not enough staff to update the site, so we have to get in touch with our specific programs to find out if everything is complete. Thankfully, mine is complete and being reviewed by committee now.
Jennszoo
They updated with 2/3 LORs. Still no resume, SOP or transcripts. Funny how they got my $ from submitting my online app, just not the actual text that went with the $.
grad_wannabe
I uploaded a portfolio on January 5, the day it was due, at about 11:30 (last minute, I know). The response page popped up and said, "Your portfolio was submitted on January 6!" Cue my freak-out, thinking it was late. I then got a confirmation email from the application website that said, "Your portfolio was received on January 5!" Cue my calming down. I just now got an email directly from the school that said, "Your portfolio was received on January 6!" I'm too tired to freak out anymore.
